We value your privacy and are committed to protecting your personal data. This privacy policy outlines how we handle your information in accordance with the New Zealand Privacy Act 2020 and its Information Privacy Principles (IPPs).
Wherever referred to in this document, 'The Developer', 'we', 'us', or 'our' refers to the sole creator and operator of the Alien Logger Discord Bot.
Our bot is an administrative logging tool designed for Roblox roleplay communities to track and display employee actions (e.g., promotions, demotions) via rich Discord embeds.
1. Data We Collect and How We Use It
We only collect personal information that is necessary to run the bot, manage active premium subscriptions, prevent abuse, and maintain service accuracy.
A. User and Account Data

Linked Account Cache: We store a cached link of
your Discord User ID and Roblox User ID.
Source & Accuracy: This data is retrieved via the RoVer global API, and is only accessed if you have authorised the bot. To ensure accuracy under IPP 7, this cache automatically refreshes and verifies your latest details against the Roblox/RoVer API after every 5 system interactions. - Premium Subscription Data: For users with active premium features, we store your Discord User ID, subscription level, renewal count, and the "active since" date to fulfill your purchase.
- Global Blacklist Data: To protect our services and enforce our Terms of Service, we maintain a security schema that stores specific Discord User IDs and/or Guild IDs of users who have violated our terms.
B. Server Administration and Operational Data
- Server Ownership Data: When a server configures our bot, we store the Discord Guild ID and the Guild Owner's Discord User ID to verify administrative permissions.
- Configuration & System Metadata: We store operational configuration data (such as channel IDs for logs, role IDs allowed to run commands, and command logging analytics). Note: This operational metadata does not contain personal user information and is used strictly to execute your server preferences.
2. Data Security and Display
Your data is securely stored on encrypted databases and is only accessible to authorised developers for debugging and maintenance.
Public Embeds: When administrative commands are run (e.g., promotion logs), the bot fetches and displays the target user's public Roblox username and headshot image inside your designated Discord server channels. Server administrators are responsible for managing access permissions to channels where these logs are output.
3. Data Retention
We do not retain information longer than necessary:
- Account links and server configurations are kept for as long as the bot remains active in your server, or until unverified.
- Premium data is retained for the lifecycle of the subscription.
- We strictly comply with all Roblox "Right to Be Forgotten" (RTBF) requests to scrub deleted user identifiers from our database.
4. Your Rights (Access & Deletion)
Under the Privacy Act 2020, you have the right to request a copy of the personal data we hold about you, or request its complete removal.
- Users can remove their linked data instantly by using the bot's verification/unlinking commands.
